ACCESS
AND DUPLICATION POLICY OF
THE DEPARTMENT OF ARCHIVES
- All Public
Records are opened to researchers to view unless under the 30
year rule of access.
- The 30 year
rule of access applies to documents/materials which are of a sensitive
nature, government policy etc.
- Records deposited
in the Department of Archives cannot be removed from its custody
for transfer into any other institution or any individual.
- Copies of
any photograph or document cannot be obtained without the permission
of the Archivist(s).
- Copies of
photographs or documents from private deposits cannot be obtained
without written permission from the depositor.
- Proper request
forms must be filled out and submitted re: duplication of any
item.
- No photograph
or document can be duplicated for commercial use by any institution.
Any institution or person found mass producing any photograph
or document will be liable for prosecuting.
- Duplication
can only be done for private study, scholarship or research. Photographs
to be published in books can only be done so with the necessary
copyright permission from the Department or the owner of a private
deposit.
- The Department
of Archives must be acknowledged if any photograph or document
is duplicated with permission.
- The Department
of Archives reserves the right to reject any request for duplication
if it violates any aspect of the copyright law.
- Papers re:
copyright permission and duplication request must be submitted
before it can be copied.
- Copies of
photographs obtained from the Department of Archives cannot be
reproduced further or distributed without written authorization
from the Department.
